Automated Calls FAQ

Q: What is the process to complete automated
calls?

A: Automated calls are a two step process.

Step 1 – Data. Data can be provided by you in a .csv, .txt., excel, .dbf, or other common database forms. This can be done via ftp or email depending on the size of the file. WRL then checks for duplicates and cross references with the National Do Not Call list, if needed. For a small additional fee, WRL can update or append phone numbers to your list to ensure the highest completion rate possible. Don’t have data? We can purchase a list for you through one of our many relationships.

Step 2 – Message. You have several options. You can call our WRL recording line with any land line phone and record your message. You have the option of replaying it and recording as many times as you like until you are comfortable with the message. Don’t like your voice? No problem, for a small additional charge, we have professional voice talents on retainer.

Q: My data list has missing phone numbers or has
phone numbers that are old or outdated. How
can I correct this issue?

A: WRL can ensure you have the latest data so that your completion rate is the highest possible. This is an additional service and WRL charges a fee for this service. We will cross reference your list with the latest, most up-to-date informational databases. You will only be charged for matches in our database and the price can be from 2 cents to 10 cents per match depending on the number of records submitted. We normally achieve between a 60-80% match rate, depending on the quality of data provided.

Q: What is the cost for automated calls?

A: The base charge is .10 cents per dial; however, volume discounts are available. Please contact your WRL representative for additional information and a quote for your specific project.

Q: Is there a minimum fee or charge?

A: Yes, each job or campaign will be subject to a $350.00 minimum fee. This does not include set up charges or voice recording fees.

Q: Is there a set up fee?

A: Yes, each job or campaign will be subject to a $150 set up fee. Please contact your WRL representative for additional information and a quote for your specific project.

Q: If I don’t like my voice, do you have other
options?

A: Yes. For an additional charge, we offer professional voice talents. You can choose from male or female voices, voices with or without accents, cartoon voices….really anything you can think of. We can even arrange for languages other than English. Ask away, we have not been stumped…..yet.

Q: How is the sound quality of the calls?

A: Fantastic. You are asked to approve any sound file before calls are placed. We take great care to check all levels and maximize the quality of sound files by putting each sound file through different filters to make it as clear as possible.

Q: Who do I contact if I’m interested in this
service?

A: Call WRL at 866-718-4255 or e-mail sales@warroomlogistics.com.

Q: What are your future plans for automated
calls?

A: In the future, you will be able to submit and manage all your call campaigns from a web interface. Set up campaigns, monitor campaigns in real time, and receive completion reports all online.

Q: How do I know if the calls were made and how
many were successful?

A: You will receive a call completion report when the campaign is concluded. This report will show you how many calls were completed, how many messages were delivered to answering machines versus live people, as well as additional information.

Custom Polling FAQ

Q: What is the process for commissioning a
custom poll?

A: It consists of defining the survey objectives, determining who will be sampled, designing the survey, conducting the survey, analyzing the data, and finally writing up the survey results.

Q: How long does it take to complete a custom
poll?

A: We have designed implemented, analyzed and returned data in a 24-hour period. However, for most projects, unless you are very familiar with survey design and survey implementation, you should allow for a 1-2 week period for survey design, 2-3 days for data collection, and 1 week for analysis of the data.

Q: What is the cost for a custom poll?

A: WRL’s custom poll’s pricing varies depending on number of respondents needed and the length of the questionnaire. However, most custom surveys cost approximately $2,500-$3,500. Please contact your WRL representative for a firm quote.

Q: How many respondents do I need?

A: This depends on your tolerance for the margin of error and your population size. Typically, a poll conducted in a local geographical region will be 400-500 respondents, and typically, a poll conducted in a state-wide or national geographical region will be 1,000 to 1,500 respondents. Normally, this will give us a margin of error of +- 5% or less.

Q: Will my custom poll be shown in The Vault?

A: Absolutely NOT! A custom poll is not shown, revealed, or discussed with anyone external to WRL and the client. We hold this information in the strictest of confidence, and we are willing to sign a NDA.

Q: Who do I contact if I’m interested in a custom
poll?

A: Call WRL at 866-718-4255 or e-mail sales@warroomlogistics.com.

IVR FAQ

Q: What is IVR?

A: IVR is an acronym for “Interactive Voice Response.” Simply speaking, it is a technology that allows a computer to detect voice or keyed responses over a telephone. IVR technology essentially substitutes a pre-recorded voice for a live telephone interviewer. It is commonly used for telephone surveys which service large call volumes or for companies who want to have menu options when you dial-in. For instance, when you call an office and get a menu (i.e. press one for sales, two for accounting, etc), that is IVR. The great thing about IVR, especially for War Room Logistics, is it can be used to gain valuable voter or consumer feedback over the telephone.

Q: How do your results compare to “Live Polling”?

A: Our results compare very favorably, and in many circumstances, have the potential to be better than live caller polling.

Q: What are the advantages of using IVR?

A: One advantage of using IVR is that it eliminates a questioner’s bias. When using live callers, the mood of the questioner, their tone of voice, or the questioner mispronouncing names can often have a derogatory effect on the person being polled and cause them to answer in ways that they might not, otherwise.

In addition, the person being polled will often fear being judged by the person asking the questions. When the issue being polled is a potentially sensitive issue, the person answering the questions has the potential to be less truthful and more politically correct when answering a live caller. Conversely, when responding to pre-recorded questions, a respondent will often be more truthful because they know that the computer can't judge them or develop an opinion about them based on their answers.

Q: What are the disadvantages of using IVR?

A: The main disadvantage to IVR is a higher hang-up rate. However, this can be easily overcome because an automated polling system can contact more people, faster than live person calling.

Another disadvantage to IVR polling is that respondents are more likely to hang up before the poll is completed, which is not as likely with live person calling. Again, this can be easily overcome since IVR can reach for more people, far faster than traditional live person calling.
